Emergency Data Recovery for New York Taxation Firm Before IRS Deadline

Overview

Just days before the IRS tax filing deadline, a New York-based accounting firm experienced a catastrophic failure of its custom-built file server. The failure locked them out of critical financial data, including years of tax filings, QuickBooks records, and Intuit ProSeries files. Without urgent QuickBooks data recovery, the firm faced missed deadlines, legal penalties, and major client dissatisfaction.

Thanks to PITS Data Recovery’s emergency response team, 100% of the lost data was recovered from a failed 4TB Western Digital Ultrastar hard drive. This Western Digital hard drive recovery effort allowed the firm to meet the IRS deadline without interruption.

Background: Critical Failure of a Custom Server

The firm relied on a high-capacity, custom-built server equipped with multiple 4TB Western Digital Ultrastar enterprise drives. This system stored massive volumes of client information, including tax documents, QuickBooks records, and data generated through Intuit ProSeries, a professional-grade tax software used to prepare and file both individual and corporate returns.

During the height of tax season, one of the drives suddenly failed, leaving accountants without access to the most recent tax filings. Thousands of client records were at risk just as deadlines approached.

Urgent Response and Secure Delivery to PITS

After their internal IT team exhausted available options, the firm contacted PITS Data Recovery. Understanding the critical timing, we instructed them to hand-deliver the server to our Brooklyn cleanroom for emergency analysis and server data recovery.

Drive Assessment: Western Digital Ultrastar

Our engineers began with a full diagnostic evaluation. The array included multiple 4TB Western Digital Ultrastar drives. Within three hours, we identified the root issue: one of the drives had suffered severe mechanical failure due to a damaged read/write head assembly. The remaining drives were intact but did not hold the most up-to-date tax data.

Because the failed drive contained the latest client files generated in both ProSeries and QuickBooks, full data recovery was essential to resume operations and meet the IRS deadline.

Cleanroom Repair and Component Replacement

The damaged drive was brought into our ISO-5 certified cleanroom. Our engineers carefully disassembled it and located a compatible donor from our internal inventory of Ultrastar parts.

After replacing the damaged head assembly with a donor component, the drive was stabilized for imaging and data extraction.

Data Recovery: Handling ProSeries and QuickBooks File Structures

Our recovery process involved deep analysis of two very different financial data systems:

  • QuickBooks (.QBW, .ND, .TLG)
QuickBooks uses database-style binary files, where transactional records are embedded in a proprietary format. These files are sensitive to corruption and require checksum validation during recovery.
  • Intuit ProSeries (.PRX, .YYZ, .DB, .INI, etc.)
ProSeries organizes tax data into separate directories by client and tax year, often using custom file extensions and configuration files. Unlike QuickBooks, ProSeries data is stored as a combination of flat files and indexed database elements.

Our team utilized advanced forensic tools to locate, extract, and verify both types of data sets. The recovery process also included reconstruction of directory structures, ensuring that ProSeries data could be correctly reimported into the software.

100% Recovery and Rapid Re-deployment

Once the data was fully recovered, we validated both QuickBooks and ProSeries datasets using structural integrity checks and live preview tools. No data corruption was found.

We transferred the recovered data to a new 4TB Western Digital hard drive, which was returned to the client and reintegrated into their server environment.
